Cold Storage Food Traceability: Preserve Lots Through Warehouse Moves

Preserve source-lot identity through cold-storage receipts, pallet splits, replacement labels, and outbound dispatch.

Define the workflow and its evidence

Map receipt, storage, movement between addresses, shipping, and any repacking separately. Do not assume every bin move creates a new regulatory event or that a transfer between facilities is only a bin change.

Keep inventory owner, physical location, supplier lot, and internal pallet ID distinct. Temperature monitoring answers a different question from lot lineage: a perfect temperature log does not identify the customers that received an affected lot.

Work through a concrete handoff

A twenty-case receipt can occupy two storage positions and later ship in three orders. Record quantities and units at each split. Internal pallet IDs can change while the relationship to the source lot remains recoverable.

Review product form from its specification. A room called freezer zone is not evidence that the product arrived frozen, and chilled storage does not by itself change a fresh food into another form.

Test the failure before scaling

Replace a damaged pallet label in a drill and ask a different shift to retrieve the lot lineage. The test fails if the replacement creates stock with no recoverable inbound source, even when inventory totals balance.

Ship portions to two customers and verify retrieval returns both destinations. Report missing allocations explicitly instead of treating an unmatched shipment as unaffected.
