FSMA 204 EDI Mapping: Check What an ASN Actually Carries

Validate advance ship notices for business meaning, source references, multi-lot quantities, and missing-data recovery.

Define the workflow and its evidence

Build a field matrix for the actual receiving and shipping activities before mapping EDI segments. Identify product, lot, source context, quantity, unit, location, date, and supporting document.

Confirm meaning with each partner’s mapping guide and source evidence. A field resembling a lot number may instead identify a shipment or internal production reference.

Work through a concrete handoff

Separate delivery, parsing, business validation, and reconciliation. A syntactically accepted message can lack usable traceability evidence.

Use an ASN with two lots of one SKU. Verify the hierarchy survives conversion into receiving records; flattening both into one item line loses an important relationship.

Test the failure before scaling

Replay a notice, correct it, and send one with an empty source reference. Duplicates should not create extra receipts, and corrections should preserve the original message.

If a truck arrives before the ASN, create reconciliation work instead of marking the receipt complete. Track unresolved records by partner and age.
