Food Traceability Software Requirements: Buy Against an Acceptance Test

Evaluate traceability software with a real multi-lot workflow, evidence retrieval, correction drills, and bounded integration costs.

Define the workflow and its evidence

Name the operator, trigger, inputs, requested output, and consequence of a wrong result. Bring a real sample spanning multiple lots, locations, and a split or transformation where relevant.

Review food scope and activities separately. A platform feature list or compliance badge should not replace an applicability determination using current FDA sources.

Work through a concrete handoff

Require original documents and explanations of identity joins, quantities, units, event times, and corrections. A dashboard screenshot is insufficient evidence of a usable operational output.

Clarify which functions require your ERP, WMS, suppliers, or additional integration. Category lookup, event storage, and partner connectivity serve different roles and need separate acceptance criteria.

Test the failure before scaling

Replay a message, remove a source, use identical lot strings from two suppliers, and correct a historical record. Ask an ordinary operator to recover without the vendor’s engineer.

A useful system returns supported evidence or exposes an incomplete state and next action. Reject success that silently drops unmatched records or applies today’s specifications to old transactions.

  • A second operator retrieves the sample.
  • Failures have working recovery paths.
  • Historical corrections remain accessible.
  • Integration and support costs are explicit.
