Restaurant Food Traceability: Review Receipts Across Locations

Build restaurant receiving reviews around establishment scope, actual delivery locations, supplier lots, and missing-data recovery.

Define the workflow and its evidence

Assess applicability and exemptions using current FDA sources before copying a corporate checklist to every restaurant. FDA’s October 2026 rule page describes a draft enforcement-discretion policy for certain smaller establishments; draft guidance is not a finalized exemption.

Record the source, date, and owner of the establishment review. Keep that decision separate from whether an ingredient resembles an FTL category. A corporate policy can exceed a legal minimum, but label the distinction.

Work through a concrete handoff

For fresh tomatoes delivered to several restaurants, preserve location-level receipts rather than only a purchasing account. A distributor invoice covering multiple drops needs relationships to the actual deliveries.

Keep intake practical during a busy delivery: retain the supplier evidence, relevant lot details, physical location, and missing-field flag. A photograph without searchable identifiers may be difficult to retrieve later.

Test the failure before scaling

Transfer unopened cases between restaurants in the exercise. Determine the records needed for that physical movement; do not make the second location appear to have received directly from the distributor if it did not.

Ask staff to locate both receipts and the transfer evidence without a manager’s memory. Missing identity should create an owned follow-up, not a false complete status.
